Turning up collaboration and security within Jira and Confluence

MACH AG is a go-to provider of digital solutions for public administrations in Germany, with over 400 employees and a history dating back to 1985. They bring tech know-how with a human touch, offering software, consulting, and operational support all in one package. With over 100,000 users across various government bodies relying on their solutions, MACH AG has a real impact on how public services are delivered in Germany.

The challenge

With six locations and many employees working remotely, keeping everyone on the same page was a juggling act. They needed to ensure subject matter experts and developers were working hand in hand, that teams were communicating effectively, and that tasks were being tackled efficiently. On top of that, they needed transparent communication both within the company and with their clients.

Coordinating all these important processes across different locations was a challenge. The pandemic added another layer of complexity with remote work becoming the norm. MACH AG realized they needed a solid digital solution to keep everything organized and running well. They were already using Atlassian tools like Jira and Confluence, but not to the tools’ full potential. Help was needed to fine-tune the tools to better suit the company’s specific needs and truly optimize their processes.

That's where Eficode (formerly Jodocus) came in. With their deep understanding of Atlassian products and history of successful collaborations with MACH AG, Eficode was the perfect partner to help them optimize their processes and make the most of their Atlassian investment.

The solution

Eficode dove right in, tailoring a solution specifically for MACH AG. They knew a one-size-fits-all approach wouldn't cut it, so they developed a custom role-rights concept for Jira and Confluence. This wasn't just about restricting access—it was about giving the right people the right tools at the right time.

To get this right, Eficode carefully analyzed how MACH AG used the tools, looking at everything from active user numbers to the types of projects they were working on. This allowed Eficode to create a detailed map of who needed access to what, and what kind of permissions they should have.

But they didn't stop there. They also integrated this role-rights concept with Active Directory, MACH AG's existing user management system. This meant that any changes to permissions were automatically applied across all of their Atlassian tools, making the whole system much more efficient and easier to manage.

With Eficode's expertise in cloud migration, they're already helping MACH AG explore the possibilities of moving their Atlassian tools to the cloud, ensuring they stay ahead of the curve in the ever-evolving digital landscape.

The benefits

The results of MACH AG's collaboration with Eficode were nothing short of transformative. The implementation of the custom role-rights concept significantly improved their day-to-day operations. Tasks became more streamlined, and knowledge sharing and communication became easier.

By precisely controlling access to information and editing capabilities, MACH AG saw a boost in security and efficiency. The right people had the right information at their fingertips, leading to faster decision-making and a more collaborative work environment. By integrating with Active Directly, it was also easier to manage permissions, with less admin work.

Projects became more transparent, meaning tasks and processes could be tracked. This made team members more accountable, and far fewer internal queries were made. In the end, this led to faster project completion times and more satisfied clients.

Eficode's expertise in cloud migration also provided MACH AG with a roadmap for the future. By exploring the possibilities of moving their Atlassian tools to the cloud, MACH AG is well-positioned to maintain their agility and adaptability.

"We have a great working relationship with Jodocus. From the very beginning, we trusted each other to take off together. Personal values have always been on the same level and we knew from previous projects that our working methods also harmonize well."

Daniel Huy, Project Manager, MACH AG

"We achieved an organizational as well as economic quantum leap in terms of Atlassian tools with the new role-rights concept thanks to the help of Jodocus. Now we have exactly what we really need. For example, exactly as many licenses as we need for our employees."
